Work Visits

In the menu item Work Visit you can announce and manage planned visits to the datacenter.

Creating a Work Visit Request

A visit to the datacenter must be announced in advance in the form of a work visit request and approved by the datacenter.

You can create a work visit request by clicking the " Create Work Visit request" button or via this link.

Basic Information

  • Description: Please provide a description of the planned work (e.g., "Installation of three servers") so that it can be better evaluated by the datacenter.
  • Start and End: Please enter a start and end date. During this period, visitors will receive access to the datacenter.
  • Responsible Contact: The responsible contact for the work visit request will be approached by the datacenter if questions arise in advance or during the visit. They do not necessarily have to be present during the visit.

Adding Visitors and Guests

The portal distinguishes between visitors and guests as follows:

  • Visitors: Visitors already have a user account in the portal and are assigned to the current organization. Their data is already stored in their profile.
  • Guests: Guests do not have a user account in the portal and are not assigned to any organization. Therefore, their data must be added for each visit.

You can also invite users from outside your organization (e.g., service providers) to your portal. More information about this feature can be found here.

Authorized Areas

You can restrict the authorized areas for each visit, for example, to allow service technicians access to only one of your racks. Simply select the relevant elements using the checkboxes.

Tip

By activating the checkbox of a parent element (e.g., the data center), all underlying elements will automatically be selected.

Additional Options

In addition to access to your areas, additional options can be requested. You can easily select these by clicking on the respective checkbox.

Work Visit request Status

A work visit request must be accepted by the datacenter operator.

A work visit request can be in one of the following statuses:

  • Pending: The work visit request has been submitted but has not yet been processed by the datacenter operator.
  • Accepted: The work visit request has been accepted, the visit can take place as planned.
  • Rejected: The work visit request has been rejected, you can find the reason for rejection in the comment.
  • Revoked: The work visit request has been revoked by the applicant.
  • Expired: The work visit request was not processed before reaching the end date and is therefore no longer valid.

Editing a Work Visit request

To edit a work visit request, click on the row of the corresponding work visit request in the overview to go to the detail view. Then click on the " Edit" button.

In the following menu, you can correct the information, edit visitors and guests, and change additional options.

Info

Already approved work visit requests cannot be edited.

Commenting on a Work Visit request

If you would like to share additional information or comments about your work visit request, please use the comment function in the detail view of the corresponding work visit request. To do this, click on the row of the work visit request in the overview to go to the detail view.

Rejected Work Visit request

If the datacenter operator rejects your work visit request, you will always find the justification in the detail view of the work visit request. To do this, click on the row of the work visit request in the overview to go to the detail view.

Tip

You can edit a rejected work visit request to directly implement any requirements from the datacenter operator. After editing, the work visit request automatically changes to the "Pending" status.

Revoking a Work Visit request

If your plans have changed, you can revoke a work visit request at any time. To do this, click on the row of the work visit request in the overview to go to the detail view, and then click on the red button " Revoke".

Please revoke already accepted work visit requests if your plans change, so that the resources allocated for them can be released for other users.
